Payroll Outsourcing Services in Faisalabad
Shift-based payroll for mills, processing units and factories — attendance reconciled across shifts and units, overtime recorded against policy, PESSI and EOBI filed, one invoice a month.
Khawaja Manpower (SMC-Private) Limited — a registered Pakistani company
Where a mill payroll actually breaks
- Attendance from three shifts, in three formats
- Joiners and leavers arriving mid-month
- Overtime settled from memory, not from record
- Several units, one payroll, different cut-offs
- A buyer asking for wage records at short notice
The city runs on shifts, and so does its payroll
Faisalabad’s payroll problem is rarely the salary calculation. It is everything that has to be true before the calculation can start.
| Who you are | What actually hurts |
|---|---|
| Spinning, weaving or processing mill | Three shifts feeding one payroll, with attendance arriving days apart in different formats |
| Garment and stitching unit | Headcount that rises for an order run and falls after it, every few weeks |
| Power loom and small manufacturing unit | Workers moving between units, so registration never quite settles |
| Group with several units on one payroll | Each unit with its own timekeeper, its own habits and its own idea of a cut-off date |
| Distribution and trading company | Field staff whose working days nobody can evidence at month end |
If you also need the workforce itself rather than only the payroll behind it, see manpower supply in Faisalabad.
Shift attendance is the job. The salary maths is the easy part.
In a three-shift unit the payroll does not fail at the calculation stage. It fails earlier — when A-shift submits on paper, B-shift submits on WhatsApp, C-shift submits two days late, and somebody in the office starts filling gaps with a reasonable guess.
So we fix the input before the output. One attendance format, one cut-off date, a named person per unit and per shift who submits it. We reconcile before we calculate, and when a unit is holding the run up we name that unit rather than quietly estimating a number on its behalf.
Overtime is recorded against your policy and shown separately on the payslip. Overtime that is estimated at month end is the line that creates disputes with workers and questions from auditors — in that order.
Six things that end most month-end chaos
None of them clever. All of them agreed before the first run.
One attendance format
Agreed up front, used by every unit and every shift. Most of the problem disappears here.
One cut-off date
The same day for everyone. No negotiating it per unit, every single month.
A named person per shift
Someone accountable for submitting — a person, not “the unit”.
Overtime against policy
Recorded, calculated to your own rule, and shown separately rather than folded into the net figure.
Joiners and leavers tracked
Mid-month movement is normal here. It is handled as routine, not as an exception each time.
Reconciled before calculating
By the time numbers are computed they already tie back to attendance.
The same provincial institution we already file with from Rawalpindi — the Punjab Employees Social Security Institution. No new jurisdiction to learn on your payroll, and EOBI sits alongside it federally. Punjab notifies its own minimum wage under the Punjab Minimum Wages Act, 2019; we work from the current notification rather than printing a figure here.
The monthly cycle
Built around a shift calendar rather than an office one.
Cut-off
Attendance from every shift and unit, plus leave, overtime, joiners, leavers and salary changes.
Reconciliation
Attendance checked and queried before anything is calculated — the step most payrolls skip.
Calculation
Computed against your salary structure, with overtime to your own policy.
Your review
You see the payroll register, including the overtime line, before any money moves.
Payment, filings & invoice
Bank transfer, payslips, EOBI and PESSI filed, then your summary and one invoice.
Included, and not included
Stated plainly, because the gap between the two is where most payroll disputes begin.
| Included | Stays with you | |
|---|---|---|
| Multi-shift attendance reconciliation | Yes | — |
| Salary calculation, overtime, bank payment | Yes | — |
| Payslips and monthly payroll register | Yes | — |
| EOBI and PESSI registration and filing | Yes | — |
| Setting the overtime policy itself | — | Yours |
| Hiring, supervision and discipline | — | Yours |
| Corporate tax filing and tax advice | — | Your tax consultant |
We apply your overtime policy; we do not write it for you. We keep the deduction records; tax filing stays with your own consultant.
What pushes a Faisalabad unit to hand it over
Usually one of these, and usually after a month that went badly.
Several units, one payroll
Each unit with its own timekeeping habits, and one office trying to reconcile all of them by the 1st.
Headcount that moves weekly
Order peaks add and release workers mid-month, and registration has to keep pace both ways.
Overtime disputes
Workers querying a figure nobody can evidence, which is a problem long before it becomes an audit problem.
A buyer asking for records
Export customers ask for wage records and contribution proof, usually at short notice.
One overloaded payroll person
Running the whole thing on a spreadsheet alongside four other jobs.
The last week of every month
Lost to payroll, every month, by people who should be running production.
Registered with the bodies that matter
We are a registered Pakistani company and a registered employer. Incorporation, tax and statutory registrations are all in place, and the documents are shared directly with clients during vendor prequalification.
SECP
Securities & Exchange Commission of Pakistan — our company incorporation
EOBI
Employees' Old-Age Benefits Institution — registered employer, contributions filed monthly
Provincial social security
PESSI, SESSI, IESSI or ESSI — registered by the worker's place of work
FBR
Federal Board of Revenue — tax registration and proper tax invoices
Companies the Khawaja Manpower group has worked with
Three decades of manpower, outsourcing and payroll work across energy, engineering and industry — for operators who audit their vendors before they appoint them.
Client names and marks are the property of their respective owners and are shown to describe past engagements of the Khawaja Manpower group.
Faisalabad without a Faisalabad office
Our office is in Rawalpindi, and there is no Faisalabad branch.
For payroll this matters less than it would for manpower supply. Attendance arrives digitally, calculation and filing are desk work, approvals move on email and WhatsApp, and PESSI is the same provincial institution from either city. Where something needs doing in person in Faisalabad, we say so and arrange it.
What stays yours: your workers, their contracts, your wage structure, your overtime policy and your supervision. We process and record. You decide.
Frequently asked questions
We run three shifts across two units. Can one payroll handle that?
Yes, and it is the normal case here rather than the hard one. The requirement is one attendance format, one cut-off date and a named submitter per shift and per unit. We reconcile before calculating and name the unit holding the run up instead of estimating on its behalf.
How is overtime handled?
Recorded against your own overtime policy and shown as a separate line on the payslip and in the register. We apply the policy you set — we do not invent a rate, and we do not fold overtime into the net figure where nobody can check it.
Mill ke liye payroll outsource karein to workers ka record buyer audit mein chalega?
Ji haan. Har worker ka contract, attendance record, bank salary aur EOBI/PESSI ka contribution record maintain hota hai, aur woh record aap ko diya jata hai. Audit mein yahi cheezain maangi jati hain, aur verbal arrangement wahi hai jo fail hota hai.
Our headcount changes almost every week during an order run. Is that a problem?
It is the routine case, not an exception. Joiners and leavers are processed as part of the cycle, with registration keeping pace in both directions so you are neither paying for people who left nor leaving new workers unregistered.
Do the workers become your employees?
No. On payroll outsourcing they stay yours. If you would rather the workers sat on our books instead, that is staff outsourcing — a different arrangement with a different cost shape.
Can you start mid-year, in the middle of a season?
Yes. The handover starts from a cut-off date you pick, with year-to-date balances and deduction history carried over. Running the first month alongside your existing process is worth the extra effort here, because overtime handled loosely in the past tends to surface in that comparison.
